Terms of Service

These Terms of Service ("Terms") govern your use of the Barrzen Mail managed email hosting service (the "Service") operated by an individual trading as Barrzen IT Solutions, of Dhaka, Bangladesh ("Barrzen", "we", or "us"). Barrzen IT Solutions is a trading name, not a registered limited company. Contact: support@barrzen.com. By creating an account or using the Service, you agree to these Terms.

1 · Definitions

"Mailbox" means an email inbox hosted on the Service. "Organization" means the Customer entity that owns one or more domains and mailboxes under a single account. "Pooled Quotas" means the storage, send, and promotional allowances shared across all mailboxes in an Organization. "Self-serve ceiling" means the maximum add-on quantity purchasable without a limit-raise request. "Subprocessors" means the third parties listed in the Subprocessor Disclosure.

2 · The Service

Barrzen provides managed business email hosting. Compute runs in an EU region; object storage, outbound relay, and billing may process data in the EU or US (see the Subprocessor Disclosure). The Service includes JMAP, IMAP, SMTP, and webmail access via the self-hosted Bulwark client, plus calendars (CalDAV), contacts (CardDAV), and shared files (WebDAV), pooled quotas per your plan, mail routing, and deliverability controls (SPF, DKIM, DMARC enforcement). The Service does not include documents, video, or AI features.

3 · Accounts and eligibility

You must be an individual or business able to form a binding contract. One account represents one team; the account includes a fixed number of seats (each a login for a teammate) and unlimited free aliases. You may host multiple domains and seats up to your plan's seat cap under that account. You provide accurate account information and are responsible for seat credentials, authorized users, and all activity under your account.

4 · Plans, quotas, and billing

Plans, quotas, seat caps, and prices are published on our pricing page. Storage and send quotas pool at the account level across all seats and aliases; seat caps are hard and tied to your plan; aliases are unlimited and free. Subscriptions are billed monthly or annually through Polar, our Merchant of Record, which handles payments, taxes, and dunning. Annual plans discount versus the monthly price as published.

You may purchase add-on packs for extra seats, storage, or sends at the published rate for your plan tier, up to the published self-serve ceilings. Beyond a ceiling, you may submit a limit-raise request; we assess it against platform capacity and, if approved, make the additional packs available on the same subscription invoice at the same published rate. Approval is a capacity check, not a price change. We may change prices with at least 30 days' notice; changes take effect at the next renewal after notice.

4a · Trial

New accounts may start a 14-day trial of the chosen plan. Polar collects a payment method at signup and does not charge for 14 days. If you cancel before day 15, you are not charged. If you do not cancel, Polar charges the published plan price on day 15 and the subscription continues. Promotional sending is off until the first paid charge. Studio and Scale seats go live only when a just-in-time capacity step is complete.

5 · Acceptable use

You may send transactional email and permission-based promotional email to recipients who consented to receive it. You must not send cold outreach, unsolicited bulk email, email to purchased or scraped lists, phishing, or malware. Detailed rules are in the Acceptable Use Policy. We may suspend or rate-limit sending when hard bounces exceed 5% or spam complaints exceed 0.1% of sent mail.

6 · Your data and access

You own your mailbox content. Stored mailbox content is encrypted at rest with EU-managed keys. Barrzen staff cannot open or read stored mail; access requires audited break-glass. This is encryption at rest, not end-to-end encryption — inbound MX and outbound relay may process mail in transit so normal Gmail/Outlook delivery works. We do not serve ads or mine your mail for advertising. We do not silently delete your mail; over-quota mail is held, not deleted.

7 · Term, suspension, and termination

This agreement runs until terminated. You may close your account with notice. We may suspend or terminate accounts for non-payment, AUP violations, or legal risk. On termination, you may export your mail for 30 days; we then delete mailbox data per our retention schedule unless law requires longer retention.

8 · Fees and taxes

Polar is the Merchant of Record for checkout, invoices, taxes, and refunds. Payment and tax disputes follow Polar's terms. You are responsible for fees accrued under your account. Refunds, where due, are issued per Polar's refund policy and applicable law.

9 · Intellectual property

Barrzen owns the Service, its software integrations, and the "Barrzen Mail" brand. You own your mailbox content and grant us the limited license to host, transmit, and process it to provide the Service.

10 · Warranties and disclaimer

We provide the Service with reasonable skill and care and the support and availability commitments published in the SLA. Except where law requires, the Service is provided "as is" and we do not warrant uninterrupted or error-free service.

11 · Limitation of liability

To the extent permitted by law, our aggregate liability for claims arising from the Service is limited to the fees you paid us in the 12 months preceding the event, and we are not liable for indirect, incidental, special, or consequential damages. Nothing here excludes liability for death, personal injury, fraud, or matters law does not permit excluding.

12 · Governing law and disputes

These Terms are governed by the laws of Bangladesh. Disputes are resolved in the courts of Dhaka, Bangladesh, without prejudice to your mandatory consumer/statutory rights where applicable. Payment, tax, and refund disputes follow Polar's terms.

13 · Changes

We may amend these Terms with at least 30 days' notice. Material changes allow you to terminate without penalty before the change takes effect. We post changes on this page with an updated "Last updated" date.
